Create a Filter for the Beta Participants View

With a filter, you can create a set of criteria that determines the items that are shown in a view. For the Beta Participants view, you create a filter that displays only items that have a check in the Wants To Participate and Primary Contact fields.

To create a filter

1. On the View menu, select Current View, click Customize Current View, and then click Filter.

2. In the Filter dialog box, click the Advanced tab.

3. Click Field, point to User-Defined Fields In Folder, and then select Wants to Participate.

4. In the Value text box, select Yes from the drop-down list box and then click Add To List.

5. Click Field, point to User-Defined Fields In Folder, and then click Primary Contact.

6. In the Value text box, select Yes from the drop-down list box and then click Add To List.

7. Click OK twice.

Create Items for the Beta Contacts Folder

Now let's assume you're ready to call potential beta participants and you want to keep track of those customers who agree to participate and those who do not. You might also want to type the results of your calls, such as "Left message on answering machine," in the Comments field.

Before you create items, you switch to the Potential Beta Participants view. This is the view in which you enter new contacts. To switch to the Potential Beta Participants view

• On the Outlook Advanced toolbar, select Potential Beta Participants in the Current View drop-down list box. To create a Beta Contacts item

In the folder view, click the Click Here To Add Add A... cell in the Company column, as shown in Figure 3-9, and then fill in the cells. After you finish typing in an item, click outside the cell. The item is then added to the folder. The values for the cells are shown in the table following the figure.
